We are looking for a project manager to project manage and support the implementation and day-to-day operations of programmes, campaigns and projects across various portfolios and functions in the our clients Marketing and Communications Division.

Working Type: Hybrid (4 days a week in office)

Key Performance Areas:

  • 1. Programme, Campaign and Project Management:
    • Assume responsibility for end-to-end programme, campaign and project coordination for a specific Marketing portfolio or function and deliver activities on-time and in line with quality standards.
    • Compile briefs in line with the relevant programme, campaign or project strategy.
    • Liaise with relevant stakeholders (including Department Heads, Business Owners, etc.) to ensure an understanding of business and/or marketing initiative requirements.  
    • Work with Management to plan and map timelines, dependencies, resources / materials required / key stakeholders. Source and coordinate materials and resource requirements for campaigns, projects and activities.  
    • Liaise with stakeholders and coordinate / maintain communication channels relevant to programme, campaign and projects to ensure: Understanding of business and/or marketing initiative requirements.
    • That all stakeholders are continuously updated on requirements and progress.  
    • Where relevant, control and monitor the production or delivery of any marketing resources or promotional items to verify quality, cost, and efficiency in line with deadlines.  
    • Where relevant, work with the respective contributing teams within marketing, other business areas (e.g., legal, BI) and/or external vendors to ensure that: Chase list requirements are met.
    • Assets are delivered timeously.
    • Conduct regular audit of all marketing touch points to ensure accuracy of information related to  programmes, campaigns and projects, as well as the alignment of activities to the brand touch points.
    • Attend to administrative tasks (compiling and submitting briefs, updating timelines, following up on  progress, etc.) according to project/campaign requirements.  
    • Coordinate the sign-off process between stakeholders to ensure campaign activities are not held up.
    • Identify and flag bottlenecks and concerns relating to campaigns to the relevant Programme Lead for resolution.  
    • Follow up with vendors / external parties on delivery to ensure projects are not being held up.
    • Ensure relevant programme, campaign or project collateral (banners, posters, etc.) are contained/stored to ensure quick and easy access.  
    • Set up and maintain project activities and plans on relevant project management system or related software (for example, WRIKE) to ensure accurate, visible, and clear communication on programme, campaigns and project activities/developments.  
    • Coordinate system-related work between stakeholders and suppliers.  
    • Engage with system distributors to address challenges or blockers.  
    • Responsible for coordinating the education of team members on the use of relevant systems.
  • Financial and vendor coordination:
    • Execute basic SAP processes to ensure timely purchase order creation and vendor payments.
    • Execute the SAP budget process; reporting, tracking (forecast expenditure and actuals aligns – determine variance, completed on time, escalate where applicable)
  • Functional Coordination:
    • Work with the relevant Manager / Lead to plan the functional/departmental calendar. Support with booking events, meetings and engagements in stakeholder or team diaries proactively.  
    • Coordinate relevant functional and departmental meetings and team schedules. Where required, ensure  venues and refreshments have been booked.  
    • Coordinating the timeous delivery of information/content by team members.  
    • Support with compilation and delivery of business cases in the relevant function or Brand Manager.  
    • Identify opportunities for future improvement of reporting and information usage and make  recommendations.  
  • Stakeholder Engagement:
    • Interact and collaborate with internal clients, project stakeholders, various external service providers and partners and agencies related to specific initiatives, campaigns, projects and activities.
    • Support with vendor onboarding and review where required.

Experience:

  • Minimum:  
    • 2 – 5 years experience in a Marketing project management/coordinator role.  
    • Previous agency experience or in house marketing department
    • Experience in managing and  coordinating multiple projects/campaigns.  
    • Proven experience stakeholder and relationship building.  
    • Portfolio/function-specific experience to be considered.  
  • Ideal:  
    • 2+ year’s experience in a Marketing project management/coordinator role.  
    • Previous agency experience or in-house marketing department  
  • Qualifications (Minimum)  
    • Grade 12 National Certificate / Vocational  
    • A relevant tertiary qualification in Marketing or Communication  
  • Qualifications (ideal or preferred)  
    • Bachelor’s Degree in Marketing or Communication
