The Client Engagement and Project Coordinator will be working across both our Visualisation and Motion Graphic Studio and Shopper Marketing Division and will be instrumental in managing the studio's lead-to-project lifecycle and ensuring the successful delivery of projects within the specified budget and timeframe.

This role is designed for an individual who can efficiently handle leads, build & maintain strong client relationships, and oversee project execution with a keen eye on creative excellence and financial pragmatism with the support of the senior creative team.  The successful candidate will have to operate in both a supportive role to the Client Service Director and manage projects as they progress in real-time, as well as manage projects independently, and this is where the self-starter attitude is essential.

Main Responsibilities:

Lead Coordination and Initial Assessment:

  • Serve as the first point of contact for incoming leads, performing initial assessments to determine project viability.
  • Efficiently manage an average of 4-5 monthly leads, ensuring prompt and professional communication.

Agency Outreach and Business Development:

  • Proactively identify and compile a prospect list of agencies that align with our studio’s offerings and target market.
  • Reach out to these agencies to facilitate presentations and discussions about our services, aiming to establish partnerships and new project opportunities.

Client Relationship Management:

  • Develop and maintain strong relationships with clients from initial contact through project completion.
  • Regularly update clients on project progress, manage expectations, and handle feedback.

Project Planning and Oversight:

  • In collaboration with the creative team, define project scopes, set timelines, and prepare detailed project plans and cost estimates.
  • Monitor project progress against timelines and budgets, making adjustments as necessary to meet objectives.

Quality Control and Delivery:

  • Coordinate with the creative team to ensure deliverables meet the studio’s high standards and client specifications.
  • Manage the delivery process, including client presentations and the integration of any final feedback.

Financial Management:

  • Oversee project budgets to ensure all expenses are captured and stay within the allocated budget/quote.
  • Handle administrative functions on our internal project management platform, Magnetic.

Operational Efficiency:

  • Through engaging with management and creative teams, document the processes for handling leads, project management, and client communications to maximize efficiency and effectiveness, leveraging our new Standard Operating Procedure framework. 
  • Utilise project management tools (Magnetic) to maintain organized and up-to-date records of all client interactions and project details.

Experience Required:

  • Excellent interpersonal skills are essential.
  • Absolute honesty is required and expected consistently.
  • A readiness to embrace learning, the courage to face challenges directly, and the ability to learn from mistakes without repeating them.
  • Excellent communication skills, capable of building rapport with clients and internal teams, and effectively conveying project needs to the creative team.
  • Strong organisational and time-management skills, with the ability to manage multiple projects simultaneously within a given lead volume.
  • A foundational understanding of project management principles, including budgeting and scheduling.
  • Proficiency in CRM and project management software.
  • A proactive problem-solver with a focus on delivering results and client satisfaction.
  • Relevant experience in a similar role, ideally within a creative, design, or visualization studio. (If no experience a willingness to do research in our industry)
